Start with one table-and-chair combination, test it with your menu and occupied layout, then lock the specification before ordering the full quantity.

For a busy dining room, prioritize furniture that fits, cleans easily and can be repaired or reordered. For longer meals, give seat support and comfort more weight. If your opening date is tight, choose a confirmed, available configuration before adding custom details that put delivery at risk.

1. Buying the look before testing the dining room

Test one working dining setup before committing to the room quantity. A layout drawn with every chair pushed in can hide the space guests need to sit down and staff need to serve them.

Mark the proposed table positions on the floor. Include columns, door swings, service stations and the circulation routes required by your project. Place a real table and chairs in the tightest area, then try the setup with people seated and a server carrying the items used during service.

Also set the table for your fullest normal meal. Shared dishes, side plates, glasses and condiment containers can turn an attractive two-top into an impractical table. If the meal does not fit, choose a larger usable tabletop or fewer places at that table. A narrower chair will not create more room for dishes.

If chairs block circulation when occupied, first reduce the seats in that area or try a chair with a smaller overall footprint. Keep the required access routes clear. For fixed booths or banquettes, test entry, exit and table reach before fixing their positions; moving them later is a larger job.

Include the work between meals. If chairs must stack nightly, get the exact model’s stack limit, stacked dimensions and handling method. Check the storage area and the route through doors. “Stackable” helps only if staff can move and store the stack you actually need.

2. Checking seat height but missing the table underneath

Measure the chair against the table’s lowest obstruction, as well as its top. Seat height is the distance from the floor to the seating surface. It says nothing about whether the arms, knees or feet will clear the table structure.

Record these measurements for each proposed pairing:

Tabletop height, plus the height of the lowest support beneath it at each seating position. The horizontal rail beneath some tabletops is called an apron.

Chair seat height and arm height; note whether a padded seat measurement is unloaded or occupied.

Overall chair width and depth, including flared backs or arms.

Space between table legs and the position of the pedestal or base feet.

For example, suppose the tabletop is 750 mm high, the apron’s lower edge is 650 mm above the floor, and the chair seat is 460 mm high. The seat-to-top difference is 290 mm, but the space above the seat to the apron is only 190 mm. Those are different measurements with different uses.

Now add chair arms that reach 680 mm. They are 30 mm higher than the apron’s lower edge and will meet it if they pass beneath that part of the table. Try an armless chair or a lower-arm option first if you want to keep this table. If arms are essential, compare a table with a compatible underside instead. Adding a seat cushion does not remove the arm collision.

Check width separately. Two 600 mm-wide chairs occupy an entire 1,200 mm clear span, leaving no gap between them or at the sides. They fit that line geometrically but still need room for guests to move. Try a narrower chair or fewer positions, then repeat the occupied test. Use the actual table-leg opening, not just the tabletop length.

For more measurement detail, our dining chair dimensions guide explains seat size and overall chair size. The approval decision here comes from the complete pairing.

3. Treating “commercial grade” as a complete specification

Choose furniture intended for restaurant use, then examine the exact construction and configuration. A material name, a heavy frame or a “commercial grade” label does not explain how the product handles repeated sitting, moving and cleaning.

On a chair sample, look beneath the seat and around the back connections. Identify how the seat attaches, how the frame joins and whether the protective feet, or floor glides, can be replaced. Ask for the material and construction details shown on the quotation. Where testing is required, match the report to the offered model and configuration, including its stated test scope.

A brief sit-test helps you judge support and fit. It does not establish fatigue life or a load rating. Keep structural testing separate from your normal-use sample review; adding improvised weights or dropping a chair is not a substitute for the specified test.

For tables, approve the top and base as a combination. Give the base supplier the exact top dimensions, material and weight. A broad pedestal may support the top but obstruct guests’ feet; a different base must solve both support and legroom. Include the fixing arrangement and levelling feet in the order.

Read the commercial-use warranty while comparing suppliers. Establish which components it covers, how to report a problem and who pays replacement freight. A warranty duration alone does not answer those questions.

4. Choosing surfaces without trying the cleaning routine

Choose the surface around the cleaning your team can carry out every day. A stain-resistant cover, a high abrasion score and a wipe-clean surface describe different things.

Your operating condition

Start with

What changes the choice

Frequent spills and fast resets

A smooth, easy-clean seat and tabletop with accessible edges

Keep upholstery if its approved cleaning method fits the reset routine

Longer meals and comfort-led dining

A supportive seat; consider upholstery or a replaceable padded seat

Change the covering or seat design if cleaning leaves stains, dampness or long drying delays

Patio or open-sided terrace

A complete product specified for that exposure

Side rain, strong sun, salt air and outdoor storage can change the frame, finish and covering needed

Try your usual food spills and the permitted cleaning method on a sample or spare swatch before approval. Use the cleaner, dilution and contact time allowed for that material. Let it dry, then inspect for remaining soil, colour transfer, a sticky feel or a change in sheen. If the result is poor, change the surface or agree a compatible cleaning method and repeat the check.

Do not rank upholstery by double rubs alone. These count repeated movements in an abrasion test. The Association for Contract Textiles explains that higher abrasion results do not directly predict longer service life; cleaning, application and other wear also matter. Ask for the care instructions alongside the material code.

For outdoor use, describe where the furniture will stay overnight and how much rain or sun reaches it. A roof over the terrace does not make the furniture’s exposure identical to an indoor dining room.

5. Approving a sample without locking the bulk order

Approve a defined version of the furniture, then make that version the reference for production. “Sample looks good” leaves room for different upholstery, glides, dimensions or packaging to reach your restaurant.

Use a short approval sequence:

Try the complete pairing. Sit, stand, pull the chair in and out, and check support and legroom at the intended table. Include people with different body sizes.

Compare the finish in the venue light. Put the physical wood, coating and upholstery references beside the tabletop and flooring. A screen photograph is useful for discussion but cannot settle colour approval.

Try daily handling. Move the chair on the intended floor, clean the relevant surfaces and test stacking only within that model’s permitted arrangement.

Write down what passed and what must change. Attach the model, drawing revision, dimensions, material and colour codes, glide type, quantity by finish and packing requirements to the order.

Keep an approved sample or agreed physical references for comparison with the finished batch. A new arm needs another clearance check. A new covering needs another cleaning review. Approve the revised item before releasing that version for bulk production.

6. Comparing chair prices instead of ready-to-use cost

Compare the cost of getting the same usable furniture into the dining room. First align the model, construction, finish, quantity and delivery address. Then add the charges each quotation leaves outside its unit price.

Suppose you are comparing 60 chairs with equivalent agreed specifications. Both offers are in US dollars. Taxes and sample charges are the same and are left out of this comparison; freight and assembly are as quoted below.

Cost for 60 chairs

Quote A

Quote B

Furniture

60 × $50 = $3,000

60 × $60 = $3,600

Freight and local delivery

$900

$350

Assembly

$360

Included

Compared total

$4,260

$3,950

Choose B on these costs: it is $310 lower, even though each chair costs $10 more. If A instead offers delivery for $450 and includes assembly, its total becomes $3,450. With the specifications and other conditions still equal, choose A; it is now $500 lower than B.

For your order, add any different sample fees, packaging, duties, taxes, unloading, carrying-in and installation costs. Distinguish delivery to a port or kerbside from delivery into your room. Obtain those amounts before treating a quotation as complete.

Do not fill a comparison with guessed replacement years to make one chair win. Compare known purchase and installation costs first. Add maintenance or replacement costs when you have useful operating records, component prices or other evidence for them.

7. Mistaking the ship date for the opening-day deadline

Plan backwards from the date the furniture must be installed and usable. A factory completion date, a vessel departure and delivery to your restaurant are separate milestones.

Ask for a schedule covering sample approval, final drawings and materials, production, inspection, shipment, destination handling, local delivery and assembly. Identify what starts the production clock: the deposit alone, or the deposit plus approved drawings, finish and upholstery.

If that schedule cannot reach your opening date, first compare existing models and finishes with a confirmed delivery plan. Keep custom pieces for areas that can be completed later if the operation allows it. A temporary rental can cover a genuine timing gap, but it still needs to fit the tables and layout. Reducing inspection or skipping the fit test does not solve the schedule.

Plan the receiving job before the truck arrives:

Compare packed dimensions with the entrance, lift and stair turns—not only the assembled furniture dimensions.

Agree who unloads, carries, assembles and removes packaging, and which tasks are included in the price.

Confirm protection for tabletop edges, chair backs and surfaces that could rub inside the carton. Leaving replacement planning until the first chair fails

Decide how a damaged chair returns to service before choosing how many extras to buy. Replacement planning covers complete chairs, wearing parts and the information needed to order the right version again.

Ask which glides, seat pads and other components are replaceable, what identifies each part and how long replenishment takes. Keep the approved model, dimensions, finish reference and upholstery code with the purchase record. A photograph of the room is not enough to reproduce a finish or identify a fixing.

If waiting for a replacement would leave you without needed seats, keep complete spare chairs that can go straight into use. If the usual problem can be repaired locally with a replaceable pad or glide, a parts kit may solve it with less storage. An unstable chair with a damaged frame needs inspection and repair or replacement before it returns to service.

Set spare quantities using your repair history, expected waiting time, storage and the number of unavailable seats you can tolerate. For a new venue without records, agree an initial allowance with the supplier and review it after actual use. There is no useful single percentage for every restaurant.

Also limit unnecessary variants. One main chair with a controlled finish is easier to replenish than several nearly identical models. If you mix styles, allocate them deliberately by zone and retain a reference for each.

A restaurant chair buying checklist before you commit

Avoid restaurant furniture buying mistakes by settling the physical combination first, the approved specification next, and the complete delivery plan before you commit. This usually looks more coherent than scattering a few visibly different chairs across the room. Keep usable old chairs as spares only after checking their condition.

What if my order is too small for the custom option?

Start with an existing model and an available finish that meet your fit and timing needs. Ask which changes are possible at your quantity, and compare those options before commissioning a new design. A custom upholstery or colour request may have a separate minimum from the chair itself.

Do not order extra furniture just to reach a minimum unless the additional stock has a planned use or storage place. An established configuration can be the better choice for a small restaurant.

What should I do if I find a size problem after paying a deposit?

Ask the supplier to hold the affected items and confirm whether production can still be changed. Send the conflicting dimensions, photographs, drawing revision and quantity.
